Scheduling sonograms
Posted: 19 Feb 2007 02:36 PM
Hello - It's been awhile. We wanted to ask if you have any suggestions on how we can schedule a sonogram appointment in the appointment book so that we can recognize the difference between a pregnancy test client and a sono client at a glance. Or is it possible to create a separate appointment page to schedule sonograms?

Thanks,
Sarah Stone

Hi Sarah,

One option is to assign a category. In the appointment book, you can view the category information in "List View" under the "Day" tab (check the "DayView: display list" box). You also see this information under Week and Month view.

You can also add a comment to each appoinment.

Hope that helps.

Thx for your idea. Our problem is that we cannot see which clients are for STD or sonos just by viewing the appts. We need to open boxes on each appt to do that for the methods you proposed if I have it right. I would like a second scheduling PAGE for medical so the receptionists do not confuse medical patients with pregnancy test clients. Is that possible?

One suggestion with your method was to give medical patients a prefix or symbol before their name when they are entered. The problem with that is that someone has to go in later and correct their name so the file can be found later. Not a great idea for that reason. I'm sure other center have this issue too. Thanks, God bless, Mb Oz

I'm not sure what you mean by "We need to open boxes".

Basically, when you create an appointment, you just select "Sonogram" from the category list. Does that make sense?

hi mbozrn,

I'm sorry if i was not clear, but i don't recall ever recommending using a prefix or symbol for the client name. You are correct, that is not a good idea. In my previous post, I just recommended adding a note to the appointment (in the note field).

I just tried it. When I entered the client as a new patient "Harry Harry - an ultrasound under category there, save and close.
Then i scheduled an appt and under category there, my choices did not include sonogm so I put 'ab-minded' which is what shows up on the schedule. So others would have no clue that Harry is a sonogm patient.
Can we add sonogram or ultrasound to category under the 'make the appt' page? That might work. I'd still like a SEPARATE PAGE for medical because people won't look at category and think those times are taken, Sorry to be stubborn, but is there a 2nd schedule page we can use?
Thanks for your patience, mboz

Hi mboz,

If you don't have "Sonogram" in the category list, you will need to add it. This is a 1 time operation. To add it, click the elipsis button (button with 3 dots "...") next to the category list in the appointment form. The "Appointment Type List" dialog opens. In the dialog, add "Sonogram" to the list. When you close the dialog, the category list will refresh. You should now be able to select "Sonogram" from the list.

Not sure about adding a seperate page for medical. I may need more details. The appointment book is designed to work generically for all types of appointments and it may add a lot of complexity adding the medical specific page.

hope that helps.

Thank you sir. We have successfullyadded Sonogram to the list. As I said previously, that is adequate but not ideal. Could we have a separate identical schedule page for Medical patients(page 2)? Thanks, MBOZ

Hi mboz,

Per the earlier threads, the appointment book is designed to handle any type of client and appointment. As of this time we have no plans to add a medical page to the appointment book in an effort to minimize the complexity to the appointment book. Today, you can easily determine the type of client/appointment by assigning categories to each appointment. Under the "Day" tab, be sure to check the "DayView: dislay list" at the bottom right of the screen. This will display your appointments in a list and also displays the "Category" column which will allow you to easily determine the type of appointment. The appointment statistics totals can also be displayed using the "Category" measure.

If you would like to disuss this more with me, feel free to give me a call. I can be reached at the 972-851-1085 number.

Thanks!
