Consolidating donors Posted: 07 Dec 2005 03:54 PM |
Hi Brian,
In trying to consolidate our donors list today after our Christmas mailing, I accidentally deleted a donor that had a history of donations. Luckily, I had our old software to go back to to look up the information. I also used the statistics report to get yesterday's data to find the missing amount. Had I realized it by tomorrow morning, the statistics report would have already been updated and my mistake would not have been able to be corrected.
Is there any way that a user can be prompted if there are corresponding donations "Are you sure you want to delete this donor since there are donations associated with this donor?"
or
Can you put in functionality where you can delete a donor file, but copy all corresponding donations to another existing file.
For example - John Doe and John J. Doe are in your database and have same contact info.
You want to delete the newer file of John Doe that someone incorrectly added, but copy John doe's history to John J. Doe. |

Re: Consolidating donors and/or clients, search by address Posted: 13 Jul 2006 11:21 AM |
Thank you for the functionality that does not allow us to delete a donor with other records attached ... this has been really helpful!
When we find duplicate donors, where information is under both names and we want to consolidate, it would be really helpful if we could move all records attached to Donor New to Donor Old and then delete Donor New. This is the same for clients also. Right now, I have to manually input the information under Donor Old, delete it from Donor New, and when all has been moved, delete Donor New.
Another thing that would help in the consolidation process, when entering new donors or new clients, is to be able to search by Address since some names have changed but they are living at the same address. This would help us to find duplicates as well as to avoid entering duplicates inadvertantly.
We have found that some donors are listed by their home address as well as by their business address. If we can search for the address, we can see if the business name is listed already in our database. |

Just wondering if a search by address or the ability to copy donor history from one to another is something that is being considered for a future release? |

Hi Donna,
These 2 features will not be included in our upcoming release (due out very soon!), however we will discuss these feature requests for a future enhancement.
Thanks,
Sarah Miller |

Hi Sarah,
Two big benefits in donor management would be to add:
searching by address - to prevent unnecessary duplicates - ie husband, wife, child at same address.
on donor search screen: instead of showing birthdate, show spouse since we never know the donors birthdate. Birthdate makes sense in client management, but not in donor management. Spouse would help prevent duplicates.

Hi Donna,
We are going to add the ability to search by address in an upcoming release. Also, thanks for the feedback on using spouse name (versus birthdate) in donor mgmt. I'll will look into updating the auto-complete combo box. |
