NEW AND RETURN VISITS

Can you clarify how E-Kyros utilizes the "new" and "return" visit. The default is return.

If a client comes in for a pregancy test, which is negative and then comes back for a repeat in a week or two .. that, to me, would be considered a "return" visit.

However, if the client comes in January and the test is negative and then she comes back in May for a pregnancy test ... is that considered a "return" visit. To me this is a "new" encounter even though the client would already be in the system.

I guess we want to know how you utilize the information so that we enter it correctly.

Hi Sharon,

These are great questions. And really the answer is that you can utilize this feature in the way that best fits how your center tracks clients. For instance, I know some centers that only mark a client visit as "New" if it is the very first visit that the client has made to the center. Then they would mark every subsequent visit as "return" even if years passed in between visits. But, I know other centers that mark the very first visit of every Client Case as "New" and then if the same client starts a 2nd case later on, they would mark the first visit of case #2 as "New."

Either one of these scenarios will work, depending on your center's policies and procedures for tracking your client visits. The most important thing you can do, is to define how you want to track this information, communicate this to your data entry people, and then be CONSISTENT with all clients. Just in case you don't already know this, you can track your client visit statistics by going to the Statistics section of client management and selecting "Client Visit Stats." You can also get a break out of "New" vs. "Return" clients using the measures for that stat.
