Appointment Book

We just recently started using your system but have not begun using the appointment book yet. Do we need to go back to enter appointments since we first opened in February 2006 or just start from today forward? Should we enter all past appointments even though we have entered them all as clients info? Thanks

Hi Felesha,

Great question!

It really is a good idea to go back and at least enter the current year’s historical data. The reason for that is reporting. For example, if you want to be able to run correct and accurate end-of-year reports and statistics, then having both the clients and the appointment data from February 2006 is needed. In order to accomplish this, we usually recommend a bit of a piece-meal approach. Since it is already in September, you may do something like the following to get the data entered:

• In September, enter Sept data plus Feb and March
• In October, enter Oct data plus April and May
• In November, enter Nov data plus June and July
• In December, enter Dec plus August.

This approach will get you caught up, but hopefully won't overwhelm everyone. By having all your data, you can run reports and statistics at the end of the year that reflect the year in total.

If you decide that you don't have the man-power to enter the historical data, then just know that your end-of-year reports will be incorrect, but if you run the individual months were you entered data into the system, those individual months will be correctly reported in the system.
