Will there ever be a way to have the appointments that have been made and what is still available and then making the appointments in a more centralized way? Where you could for instance just look at the calendar when an appointment is available and click on that without having to go through so many steps. It is easy for me because I work with it daily, but it is difficult for volunteers to remember every step they must make. We have had quite a few problems where someone will have forgotten to click on the resources to block off the time and we have double booked people- or someone has forgotten to look at the resource/free busy and double booked appointments. I hope this question makes sense. Thank you

Hi patty,

I think i need more information. Please tell me what you mean by "without having to go through so many steps". Please identify the steps your are going through and tell me which ones you would like to simplify. The more info i have, the better i can understand your problem. Thanks in advance!

Okay- I will try to explain this a little better. Before we started using ekyros, we had a seperate system for our client information and statistics and then another for making appointments. This system was extremely simple where on one page it had all the times listed that were available that day and for what room etc. LIke 9:00-10:00 (pregnancy test or room 1 etc.), 10:00-11:00 etc. and if something had already been made it was on the same page with that person's appointment, name etc. for instance it would say 11:00-12:00 Laura Patty pregnancy test etc. Our volunteers could see on one page what was available and what times/who was already scheduled. Then they could just click on the time (ex.9:00-10:00) to make an appoointment there, type in the name etc. and it would just automatically show up and you could see it wasn't available as well for another appointment. With ekyros appointments, one page shows what has been scheduled, then they must go to "resources/free busy" to see where they can make appointments. Then they must hit the "add appoinment", add that information, then click on "resources" click the time and block it off. Then adding the case number as well, but I believe that isn't until they check the client in. I hope this helps.

Hmmm....It sounds like you want to see the resources displayed along with the appointments under "DayView". Is that correct? I'm not sure how this would look. Please fax me a sample copy of your old sheet so i can see what it looks like. Our fax number is: 972-304-4177.

In the meantime, the steps below are probably the quickest way to schedule an appointment with resources:

(Note: you don't have to go to the resouce tab in the appointment book. You view resource availability right within the appointment form)

1) In the appointment book, go to the day you would like to schedule the appointment.
2) Click add appointment button. The appointment form opens. The date is defaulted to the current day set in the appointment book.
3) Enter the client name and any other relevant information.
4) Click the resource tab to check for available of a resouce. If you have to, you can move to the next/prior day by clicking the "<<" and ">>" buttons at the top of the resource screen.
5) Select your resource
6) click save (if you want to check the person in right away) or click "save and close" if you are done.
