We are attempting some scheduling so that all of our volunteers would have access to the information and can even set appts from home. Here is what we are attempting to do (none of which involve clients)
1 - have my appt book available to volunteers to view/edit - which would be mainly appt w/pastors or business leaders - and have the names show, not just that I'm available or not
2 - we are opening our newly renovated conference room to pastors and/or Bible study leaders to have their meeting here (and give us 15 minutes to share our vision). how can we schedule the room with the name of the group if there is no client involved? I thought if the system would let us pick a "donor" instead of "client" we could set appt that way - any suggestions.

Hi Rose,

As of right now, the appointment book is designed just for client appointments, so in order to schedule an appointment the system does require you to assign a client file to the appointment. However, this does also include organization files that are set-up in client management, so you could call up church/business names as well. We hope to add in the capability you described possibly to the staff management module in a future enhancement, but this will probably be down the road a bit.

Here is one idea that you could try that will allow you to get around the client file issue (however, I do realize this is probably not optimal for the scheduling need you have):

1. Create 1 "dummy" file that you will use everytime you are scheduling your conference room. (You might even call it "conference room"). You will also need to set-up a Resource in the appt. book called "Conference Room." When scheduling the actual appt. you will call up the dummy file you have created, assign an appointment category (you could create one specifically for this type of scheduling), and then in the comments box you could put the specific name information of who will be using the room. When a person views the scheduled appt., they will be able to see the comments to know exactly who is coming at that time.
