I've noticed that many of your fields update automatically on one form when we enter them on another form (which is VERY helpful). However, when we enter a client's zip in the file info it doesn't seem to update the "cases" file. Is there a reason for that? If not, could you link the two fields?

Good question.
When you add a new case, the system pulls the zip code (if one exists) from under the general tab. In that respect they are linked.
However, if you change the zip code under the general tab, the system will not update existing case(s), because:
1) if you have multiple cases we are not sure which one it applies to and we don't want to make any assumptions.
2) if the client actually moved to a new zip code, but the case was opened when the client lived in the old zip code, you don't want to overwrite the old zip code for historical purposes. In this respect her mailing address zip code (under the general tab) will be different that the zip code on the case (when the case was originally created with the old zip code). this is by design to preseve the location of where the client lived when the case was opened. However, if the client comes back In the future, and you create a new (second case), the new zip code under the general tab will be defaulted in the new case form.

Yes, that does make sense, and it was close to the logic that I was guessing. However, when we added the zip code in the general tab it didn't post one to the new case. I realize now that this is probably because the client data is updated each evening, right? |

In terms of data entry, the zip code will only default on the case form when you add a new case. when this happens, the system looks for a zip code on the general form and if one exists will default it on the new case. other than that, you will have to manully update the zip code fiel on the case form.
In terms of statistics, yes, the stats are updated each evening. if you change any demographics information on a file (zip, age, race, marital status etc), it will not be reflected in the stats until the next morning.

to be more specific:
1 enter zip code under general tab.
2 go to Add New button
3 select "Case"
the zip code is pre-filled in the case form. |

Oh, I get it now! Only when a new case is added after the general information is the zip code filled in...you did say that before, but I was a little slow today. How silly of me...thanks for all the details and your persistence. I like the way you guys think through all this stuff! |
