You said at some time you would walk me through what to do when a client has been entered twice. We actually have quite a few. I have stressed and have a sign by the computer to check before entering a client. Meanwhile, would you please let me know what to do. What happens to the second ID#?

Hi Sarah,
You will need to manully merge the duplicate client files together. There is no simple answer on how to handle merging duplicate client files. As policy, you may have to limit the number of data entry people to ensure they are entering your files properly. Client ID's are not re-used..since they are system generated. The system just increments the ID for each new file added. The ID is also shared among staff and donor files. This could result in gaps between your file numbering if delete a lot of files and/or you are also entering a lot of staff and donor files.
