| If I delete a donor, does the FileID # get re-used? |

Hi Rose,
No it does not. When you add a new donor, the system just automatically increments the file ID. |

Hi Chris,
During billing we count the number of files you have in your database regardless of file ID. For example, if your center had the following files in your database (notice the gap between 1000 and 2001), your database size is 3 because you have 3 physical records...*not* 2002.
FileID, FirstName, LastName...
------------------------------------------------
1000, Susie, Smith
2001, Sally, Jones
2002, Cindy, James

Does making a donor inactive give the same result as deleting a donor, for billing purposes?
Also, is billing for donor and client records combined? And what about making a client file inactive? How does that affect billing.

Hello scpcljculler,
Billing is based on the total number of records (client, donor, and staff) regardless of status (inactive/active) as they are stored and backed up nightly. You can review your database usage by clicking on the "Administration" tab and clicking "Database Usage" tab to review your record counts individually per module or as a whole.

I get the following error when deleting long ago staff.
The DELETE statement conflicted with the REFERENCE constraint "FK_tblIntake_tblDirectoryStaffVol". The conflict occurred in database "CenterPiece70", table "dbo.tblIntake". The statement has been terminated. |

Hi scpcljculler,
You do not want to delete any staff files that have seen clients or are attached to activity forms as that will potentially remove history. Instead what you will do is mark them inactive. You are receiving that error because it is tied to an intake.

ok - makes sense
how about a former staff that won't delete because it states that the record has a followup associated with it. I can not locate such a followup item? |

Hi scpcljculler,
You will want to run the follow-up reports in Client, Donor, and Staff as it is tied to a follow-up in one of those modules. I generally run the report for 1/1/1900-current to catch any dates.
Again I discourage deleting any staff files that have had client contact to prevent loss of history on activity forms.
