Inventory

We have 2 large storage units. One is climate controlled that has all our clothing in it and things that would get 'musty smelling' in a regular unit. The other storage unit is a regular one that we keep cribs, car seats etc. in. MY QUESTION: Could you come up with some type inventory list we could use to keep track of our items. We have so much inventory that we are having a hard time keeping up with income/outgo of everything. I have a person that tries to keep up with everything but when she isn't available we don't know what we have without driving over there. If I had a way to keep track of everything on the computer, right here, my life would be soooo much easier. Can you help me?

Hi dmiller,

I think we already have something similar to what you are asking. Check out the Closets/Boutiques inventory list. This list is used by the office boutiques form that tracks your inventory and the items that you have given to clients.

Initial Setup:

To setup the inventory list, click on the setup tab on the Office Use Only form. The Office Use Only form is located under Client Management/Office Forms tab. Note: when your account was setup, the list was created based on generic list. Feel free to add/delete or rename any existing items.

Closets/Boutiques form

To use the inventory list, create a Closets/Boutiques form. This form is located under Activity tab of a client file. There you can track how many items the client needs and how many items the client recieved during the visit. When your staff meets with a client, have them use the Office Use Only form. If the client received and/or needs any items, your staff/volunteer should complete the Closets/Boutiques section of the Office Use Only form. Later have your data entry people perform data entry for each section of the OUO form that is completed.

Reporting

You can also run the Closets/Boutiques needs report to see all the items that clients need (based on the closets/boutiques form).

In our center we take digital pictures of all our items and print them out from our computer/printer.
The pictures go into a notebook that we call our "Inventory Book"
The book is divided by catagories EX: Cribs, Strollers etc
On each sheet we write information about the items EX: if it needs a part, if it is in a
set then we list everything in the set, the location of the item etc.
Then when we give the item out to the Mom - that picture goes into her file
This system has worked very well for us.
