1.Defaults

Is there any way to make defaults for data entry?

Most of our clients/donors/staff are from the same city, state, zip and area code... it would be great if those defaults would already be entered (or a drop down list created as they are entered). Did we miss some page where defaults could be set?

Your program has been a money saver for our PCC, but we are looking for further ways to cut down costs. Specifically, we would like to use email to conduct more of our business. For instance, sending a receipt for a donation by email instead of by mail (except for end of the year and IRS records). Is there a way to use the program's resources to accomplish this task. How do we record material gifts that are given? Such as blankets, diapers, manual labor, etc.? How do we record what the gift is and how can we create a report of it?

I tried it and it inserted the text.

What was confusing me was that I was expecting a WYSIWYG editor. Is there any way to insert the text in the bottom portion that is returned with the next gift?

It would make more sense to have my "letter" portion there... especially if I was asking the donor to check their address or add a phone number.

I guess I am dense... but I don't get it. Would you walk me through the process?

I see the batch reports and I see that you can create a letter, but how do you mix the two? If I use the batch report, I cannot edit it. If I go to to create a letter, I don't have all the fields of the batch report. If I copy and paste the batch report into a new letter, it will look the same and I can edit it, but I don't have the fields (only their resulting information).

Along the lines of these questions... Can the Batch Receipt format be imported into Letter Creator section of the program? Then additional statement elements (like "Please review your contact information for accuracy" or "Please include email address in space provided" could be added to future Batch receipts (now we would use the new letter format instead of the default batch receipt).

I am not sure I follow your instructions when you say, "the one thing you can edit on the receipt itself is the "Letter" section. How is this done? If I select "Report" it apparently can not be edited before export. If I choose "Letter" I would need to create a new letter and it would not have the information on it that the "Report" has so I would recreate the "Report" and then add my elements. Is this correct? Or am I ...

I know that a church management program usually handles a complete family profile, but it would be very useful to have family profiles in ekyros as well. When our donor contact person is making a phone follow-up, it would be useful to have the spouse and children listed as well as the head of the household. We have seen each child of a family support our "Walk for Life" and it would be great to note their contributions without creating a separte file on each. Then notes could be made ...

Greetings! We have been using the batch receipts throughout the year... a wonderful tool!. Now it is time for our first year end receipts. I know how to add some comments just before the records section by creating a letter (thanks to your help previously). Is there an easy way to eliminate the bottom portion of the receipt that is usually mailed back in with another donotation?

Or maybe someone has another way of sending out these year end receipts. Do others export info to ...

Is there a way to create a report that would compare giving months or years? For instance, We would like to compare this year's giving for the month of January with the last two years. It also (by way of extension) would be great to have each month side by side through the year.

In reference to a possible donor calendar, are you familar with NIFLA's Donor-A-Day program? Basically, a donor would take on the finacial responsibility of supporting the Center for a day. They would then sign up to "pay" for their day by monthly EFT. They would then select the day of the year they would like to pay for and the day is set aside in their name. They would have opportunity to indentify why they choose that day (Birth of a child, anniversay, etc.). It would be ...

It seems that the vital separtion in each of the mangement sections is not between the different sections (Client, Donor, Staff, etc) but between the basic information and their records. For instance, in Donor Management, the basic files reveal contact information, but do not reveal the actual gift activity of that individual. Any division would seem to be most appropriate at this level. Thus you might have someone that has the security to enter the basic contact information, but does not have ...

Is there a way to allow someone access to the information in Donor Management without being able to change anything? We would like to have the ability to have someone be able to go into the files and print reports but not have the ability to change any files.

We are coming to the end of the year and begining a new one (surprise!). We were wondering if we could delete some categories in the "Event/Event Group" menu without messing up the files that may have used those categories this past year. For instance can we delete (at the end of the year) "2008 individual donations" and create "2009 individual donations" without causing havoc with files of individuals that gave in 2008 under that classification. When you pull up the donor files, the listing that you get is for the individual in each file. For instance, my name is Tim Elliott, so the listing shows "Tim Elliott". However, most donors are couples or families. It would be great to show "Tim & Diane Elliott" instead of just Tim. I realize that the spouse can be indentified deeper in the file under "Spouse," but is there anyway to show both names under the file listing? (We have resorted to putting both ...

Is this the place where we go to find out about updates? Or is there another section? I cannot believe that there has not been an update since 3-22-2007 (the last dated update). If you could point me to the right spot, I would appreciate it. If you email out notices of updates, do you also have a blog/bulletin board where you post the changes?

Hi Sarah... sorry to be so dense...
I read what you said, but it does not make any sense to me. If I select a receipt from the menu, it gives me a preset receipt. I do not see any way to edit it.

If I chose "Letter", it will give me a blank page , which I can create to my heart's content.

However, I would like to have all the information of the preset receipt and then add a line or two to it (and not have to reinvent the wheel).

Back again... maybe a suggestion. I use the manual that we have printed out (thought you might like to know someone uses the manual!). I was wondering if you could make an addition. There are several forms that are filled out for each section (Clients, Donors, etc.) It would be helpful to know how that information is used. For instance (I know this is obvious), "Last Name" on the form will be used in the following reports... Batch Receipts, Donations by Designations, etc.

Do you have suggestions for each of the catagories under clients, donors and staff. I am sure that you have run into this question before. Even your suggestions would give us some guidance.
