Sending out statements to businesses

Hi. We sent out our year-end statements using the Generate Statements tab. We ran into a snag and I would like to explore this with you.

For business donors we currently check Business in the donor record, but then we uncheck 'auto update on save' because we want to be able to include the business representative and the business name in the addresses of mailings we send. Otherwise we get the business name twice on the addresses labels and/or letters.

I'm not sure how statements are set up, but what we realized (after we had sent themSad ) was the statements had the business representative name and address but not the name of the business on them. That has caused some problems. Any suggestions?

Hello and thank you for using the forums!
To answer your question regarding the name printed on donation statements: Donor files marked as a Business will print the name typed in the Organization field of the donor file on donation statements. If you would like the statement to include the Business name AND individual contact name, you will need to type both names into the Proper Name Field For example: "ABC Lumber-Bob Jones".

Hi J!
I am sorry to hear about the confusion! As Khristey mentioned "ProperName" will always pull from the filed name, if it is checked as an organization it will pull the Organization name, if it is an individual it will pull the first and last name. Another option is to put the contact name as the first line in the "Address" field so it would look like:

Bob Jones
1211 Main St.

This allows Organization to be its own field while still having a "contact" in the address. You can also put "Bob Jones" or "Bob" in the Dear Name field, as Khristey mentioned, which is the field you use for letters.
